7 Zapier Alternatives in 2026 (Including HIPAA-Friendly Options)

9 min read · By Hamza Amir · Updated October 30, 2026

Zapier alternatives illustration: one central automation hub branching to seven alternative workflow tools.
In short

Most teams look for Zapier alternatives for one of three reasons: the task bill grew faster than expected, they need data control or HIPAA compliance, or their workflows outgrew simple triggers and actions. The right alternative depends on which of those is your problem.

Zapier counts a task for every successful action step, and its own Enterprise Agreement FAQ says it does not offer a Business Associate Agreement. So the two most common fixes are a tool that bills per workflow run (like n8n) and a tool you can host inside your own infrastructure. Below are seven options we have built with or evaluated for clients.

Key takeaways

  • Cost problem: n8n (per-run billing) or Make (credit-based) usually cost less at volume.
  • Microsoft shop: Power Automate fits naturally with Microsoft 365.
  • Developers: Pipedream or n8n Code nodes give full flexibility.
  • HIPAA: Zapier offers no BAA; self-hosted n8n or Activepieces keep data in your environment.
  • Enterprise integration at scale: Workato.

1. n8n: best overall Zapier alternative

n8n bills per execution, one run of an entire workflow, so a ten-step automation costs the same as a two-step one. You can self-host the Community Edition free for internal business use, write JavaScript or Python where needed, and build AI agents in the same canvas. It is harder to learn than Zapier. 2. Make: best visual budget option

Make uses a visual scenario builder with routers, iterators, and error handlers. It charges credits per action, with most actions using one credit, and its free plan includes 1,000 credits per month. It is a strong middle ground between Zapier's simplicity and n8n's power.

3. Microsoft Power Automate

If your company already lives in Outlook, Teams, SharePoint, and Excel, Power Automate is the natural choice. It connects deeply to Microsoft 365. Outside the Microsoft ecosystem it feels less smooth.

4. Pipedream

Pipedream is built for developers: every step can be code, with prebuilt actions for common apps. It suits engineering teams that want version control and API-level control without managing servers.

5. Activepieces

Activepieces is an open-source automation tool with a clean, Zapier-like builder and a self-hosting option. It is simpler than n8n and a reasonable choice for teams that want self-hosting without much complexity.

6. Workato

Workato targets large enterprises that integrate ERP, HR, finance, and CRM systems with governance and IT oversight. It is powerful and priced accordingly, through custom contracts.

7. Custom code

For processes that are unique, very high volume, or heavily regulated, a small custom service can beat any platform on cost and control. The trade-off is that you own the code and its maintenance. See custom AI development.

HIPAA-compliant Zapier alternative options

Zapier's Enterprise Agreement FAQ states: "Zapier hasn't undergone the HIPAA certification process, and we therefore don't offer a BAA." Healthcare, dental, and therapy practices therefore need another route for anything touching protected health information. The most common approach is to self-host n8n or Activepieces inside infrastructure covered by a Business Associate Agreement with your hosting provider, with encryption, access controls, and audit logging.

A tool alone does not make you compliant; your whole setup does. Treat this as general information, not legal advice, and confirm with your compliance advisor. For practice-specific automation, see dental AI and automated appointment reminders.

How to choose the right Zapier alternative

Start with your problem. If it is cost, count how many action steps your Zaps run each month and compare against per-run pricing. If it is compliance, prioritize self-hosting. If it is complexity, prioritize branching, code, and AI support. Then rebuild your two highest-volume Zaps in the new tool before migrating everything.

We migrate Zapier accounts to n8n regularly. Our workflow automation service can audit your current Zaps and estimate the savings, or you can claim one automation free.

Common questions
  • For most growing businesses, n8n is the best Zapier alternative because it bills per workflow run, can be self-hosted, and handles AI agents and complex logic. Make is a good visual budget option, and Power Automate suits Microsoft 365 teams.
