n8n vs Zapier (2026): Which Automation Tool Should You Use?

8 min read · By Hamza Amir · Updated October 30, 2026

n8n vs Zapier illustration: two automation workflow paths side by side, one long chain and one short chain of steps.
In short

The short answer on n8n vs Zapier: choose Zapier if you want the fastest setup and the widest app library for simple automations, and choose n8n if you run multi-step or high-volume workflows, want to self-host, or are building AI agents. Most of the decision comes down to two things, how each tool bills and how much control you need.

The numbers behind that, checked on each vendor's site on October 30, 2026: Zapier says it connects 10,408+ apps and bills per task (each successful action step). n8n lists 500+ native integrations plus a generic HTTP node and bills per execution (one full workflow run). We build on both, and this is the comparison we give clients.

Key takeaways

  • Zapier: easiest to learn, 10,408+ apps, priced per task (action step).
  • n8n: steeper learning curve, priced per workflow run, self-hostable, code-friendly.
  • Multi-step workflows usually cost far less on n8n.
  • Zapier does not offer a BAA for HIPAA; self-hosted n8n keeps data on your infrastructure.
  • Many teams use both: Zapier for quick wins, n8n for core workflows.

Pricing: n8n vs Zapier costs

This is where the tools differ most. Zapier counts a task each time an action step completes successfully; triggers and built-in tools like Filter, Formatter, and Paths do not count. n8n counts one execution per workflow run, whatever its length. A workflow with one trigger and four actions running 2,000 times a month uses 8,000 Zapier tasks but only 2,000 n8n executions.

Zapier's annual Professional plan starts at $19.99 per month for 750 tasks, and Team at $69 per month for 2,000 tasks with 25 seats. n8n's Starter is €20 per month for 2,500 executions. Details: Zapier pricing and n8n pricing.

Ease of use

Zapier wins for beginners. Its step-by-step builder and huge template library let a non-technical person ship a working automation in minutes. n8n's canvas is more powerful, with branching, loops, data inspection at every node, and code where needed, but it expects you to understand data structures. Teams without a technical owner often get further, faster, with Zapier.

AI agents and complex logic

For AI-heavy workflows, n8n is our default. It lets you chain models, tools, memory, and human approval steps in one visible workflow and inspect exactly what the model received and returned. Zapier offers Zapier Agents with its own activity allowance, which works well for simpler assistant tasks. For agent design principles, see how to build an AI agent.

Security, data control, and HIPAA

Zapier's Enterprise Agreement FAQ states: "Zapier hasn't undergone the HIPAA certification process, and we therefore don't offer a BAA." So Zapier should not touch protected health information. n8n can be self-hosted on your own infrastructure, which keeps data inside an environment you control. Compliance still depends on your whole setup, including hosting agreements and access controls. More in Zapier alternatives, including HIPAA options.

Which should you choose?

Use this rule of thumb:

  • Choose Zapier if you need a few simple automations this week, nobody on the team is technical, or you rely on niche apps n8n does not cover natively.
  • Choose n8n if your workflows have many steps or high volume, you need self-hosting or data control, or you are building AI agents.
  • Use both if you want quick wins in Zapier while core, high-volume processes run in n8n.

Migrating from Zapier to n8n is a common project for us; costs often drop sharply once multi-step Zaps move over. Our workflow automation service can audit your Zaps and migrate them, or claim one automation free.

Common questions
  • n8n is better for multi-step, high-volume, self-hosted, and AI agent workflows because it bills per workflow run and supports code. Zapier is better for beginners and simple automations because it is easier to learn and connects to more apps.
