Private Equity CRM: Off-the-Shelf Platforms vs a Custom Build

In short

A private equity CRM tracks the relationships that drive a fund: deal sourcing, intermediaries and advisors, target companies, co-investors and LPs, and the history of every interaction. General sales CRMs were built for a simpler world of leads and deals, which is why many firms end up running their real pipeline in spreadsheets.

This guide covers what a CRM for private equity must handle, the three main options, and how to decide between them. It draws on a custom CRM we built for a private equity firm and on the deal operations work we do for funds.

Key takeaways

  • PE relationships are networks: investors, targets, advisors, and deals all link to each other.
  • Options: a general CRM, a purpose-built PE CRM, or a custom build.
  • Purpose-built PE platforms fit many firms; a custom build fits firms with unusual workflows.
  • Whatever you choose, automation for data capture decides whether the CRM stays current.
  • Judge every option on whether partners will trust its pipeline view.

What a private equity CRM must handle

At a minimum:

  • Relationship mapping: who knows whom across intermediaries, advisors, executives, and co-investors.
  • Deal pipeline: stages that match how your fund evaluates and advances opportunities.
  • Sourcing history: where each deal came from and every past touchpoint with that company.
  • Documents: teasers, CIMs, models, and notes attached to the right deal.
  • Activity capture: emails and meetings logged without manual data entry.
  • Partner reporting: a live view of the pipeline without asking the deal team.
  • Permissions: confidential deals visible only to the right people.

Your three options

OptionGood fit whenTrade-off
General CRM (Salesforce, HubSpot, and similar)You already use it and your process is close to a sales pipelineHeavy customization to model PE relationships
Purpose-built PE CRMYour workflow matches the platform's model of relationship intelligence and deal trackingSubscription cost and less flexibility
Custom CRMYour deal flow and relationships do not fit eitherHigher upfront build, but you own it

Purpose-built PE platforms are a strong default for many funds, and they rank at the top of most buyer's guides for good reason. A custom build is the right answer for a narrower group: firms whose structure, data, or workflow the platforms handle poorly.

When a custom private equity CRM makes sense

The firm in our case study had exactly this problem. Off-the-shelf CRMs could not model its deal flow, because investors, portfolio companies, advisors, and deal rooms were linked in ways standard tools handled poorly. The real picture lived in spreadsheets.

We built a custom CRM with a data model for investors, targets, and their relationships, role-based access, a deal-stage board, document attachments, an activity timeline with email logging, and dashboards for pipeline value and relationship strength. The outcome: one source of truth in place of scattered spreadsheets, less time preparing for each deal, and partners with a live pipeline view without asking the team.

Automation matters more than the platform

The most common reason a PE CRM fails is not the software. It is that nobody logs the calls and emails, so the data goes stale and partners stop trusting it. Whatever platform you choose, automate data capture: log emails and meetings automatically, enrich new companies on entry, and remind deal owners about stale opportunities.

We build this layer for funds through our private equity deal operations workflows, including deal sourcing and portfolio monitoring.

How to decide

Work through these questions with your deal team:

  • Where does the real pipeline live today: the CRM or spreadsheets?
  • Which relationships and data must be modeled that your current tool cannot hold?
  • How much manual entry will the team tolerate, honestly?
  • Do you want to own the system and data outright?
  • What do partners need to see without asking anyone?

If the answers point to an unusual model, a custom build is worth scoping. Read more about custom CRM development and AI in private equity, or talk to us about AI consulting and implementation.
